National Organize Your Files Week
It’s time to crack open your files, because this week is National Organize Your Files Week! Did you know that the average person spends about 2 hours per year just looking for paperwork? Now, think about what you could have spent that 2 hours doing. Besides the time wasted, it also adds frustration and stress. Now you know why this is an important week.
To help you battle this task, we’ve listed a few steps to make this experience stress-free and easy.
The first step is to decide where the files are going to go. If you already have a filing cabinet or designated space for them, proceed to step #2. However, if you do not have a current home for your files (besides everywhere), you may want to consider buying a small (or large) filing folder/cabinet/bin/etc. Make sure this item has room for your files to grow so that you won’t need to reinvest in a new one next year.
Once you know where you want your files to go, it is important to categorize them. Think about what types of paperwork you have (bills, bank statements, taxes, etc.) and create a category for them.
Next, grab the paperwork that needs filing as well as a large open space – like the kitchen table or even the floor. If the stack of papers is too scary to face all at once, take small chunks to tackle at a time. Begin sorting your files in the designated categories. If something doesn’t have a specific home, make a new category or create an “other” category.
While you are sorting through your paperwork, decide whether the document is necessary to keep or not. If it’s not, toss it into the recycling bin. There’s no point of it taking up space that could be used for more important files. If you do not think it’s important, but want to keep it around just in case, consider scanning it and keeping it on your computer or thumb drive.
Also, look over the paperwork to ensure that everything is properly taken care of (i.e. bills paid).
Once you have placed all of your paperwork in their designated piles, it’s time to transfer them to their new home – the filing cabinet or folder from step #1. Create a tab with the name of each category, then file them away. This will make it easy to grab next time you need them.
